Scope

Where merchants, providers and contracts meet.

A sale involves more than one party. The merchant sells, a payment service provider processes, and a contract sets out how and when funds are settled.

NexaSphere works at the point where these meet. We administer the relationship with the merchant, coordinate with the third-party providers involved and manage settlement in line with what the parties have agreed, so that each side works from the same picture.

Three overlapping circles Circles for merchants, payment service providers and contractual terms overlap; NexaSphere sits where all three meet. Merchants Paymentproviders Contractualterms
NexaSphere works in the overlap: relationships, coordination and settlement.

Services

Three areas of work, one point of coordination.

01 Merchant relationships One accountable point of contact for every merchant.

We administer the commercial relationship with each merchant from onboarding through to ongoing review: collecting and maintaining the information an arrangement depends on, keeping agreements and contacts current, and making sure questions reach the party that can answer them.

  • Onboarding coordination and collection of merchant documentation
  • Maintenance of merchant records, contacts and agreed terms
  • Day-to-day correspondence and handling of merchant queries
  • Periodic review of relationship terms and supporting documents
  • Updates for new products, outlets or changes in business details
  • Orderly handling of amendments, suspensions and terminations
02 Provider coordination Keeping merchants and payment providers aligned.

Payment processing is carried out by third-party payment service providers under their own terms. We coordinate between those providers and the merchants we administer: relaying requirements, aligning documentation and following open matters through until they are resolved.

  • Liaison with third-party payment service providers on merchant matters
  • Relay of provider requirements and information requests
  • Alignment of documentation between merchants and providers
  • Tracking and follow-up of open cases and enquiries
  • Coordination of operational and contractual changes
  • Clear records of communication between the parties
03 Transaction settlements Settlements that follow the contract.

We manage the settlement of transactions in line with the contractual arrangements agreed between the parties: checking figures against the agreed terms, coordinating timing with everyone involved and keeping a clear record of each settlement cycle.

  • Settlement schedules set according to the contractual arrangement
  • Reconciliation of transaction data against agreed terms
  • Checks on fees, deductions and adjustments as agreed
  • Coordination of settlement timing with the parties involved
  • Investigation and resolution of discrepancies
  • Settlement statements and supporting records

How it runs

One arrangement, one continuous cycle.

Every arrangement follows the same path, from the terms the parties agree to the settlement those terms describe. When a cycle closes, the next one begins on the same footing.

  1. 01

    Agree

The terms of the arrangement are documented between the parties, including how and when settlement takes place.

  2. 02

    Onboard

Merchant information is collected, checked for completeness and shared with the relevant provider.

  3. 03

    Coordinate

Day-to-day matters are routed between merchant and provider and followed through to an answer.

  4. 04

    Reconcile

Transaction data is checked against the agreed terms, and any differences are raised before settlement.

  5. 05

    Settle

Settlement is completed on the agreed schedule and recorded, and the next cycle begins.

Both sides

What each side of the arrangement can expect.

For merchants

  • A single point of contact for your arrangement
  • A clear view of how and when settlements are made
  • Questions followed through with the provider on your behalf
  • Records kept current as your business changes

For payment service providers

  • Merchant documentation that is organised and complete
  • One coordinating counterpart for merchant matters
  • Requests relayed and tracked through to completion
  • Settlement handled according to the agreed terms

Principles

How we keep the sphere in balance.

  1. 1

    Contract first

Every action we take traces back to an arrangement the parties have agreed in writing.

  2. 2

    Reconciled before settled

Figures are checked against the agreed terms before a settlement is completed, not after.

  3. 3

    One shared record

Correspondence, changes and settlements are recorded so every party can see the same history.

  4. 4

    Clear roles

We coordinate and administer; payment providers process payments. Each party knows what it is responsible for.
